Cancellation Policy

A $175.00 non- refundable deposit (except for accident or illness) per session, which is part of the total camp fee, is required for any registration form to be processed and your child’s spot reserved.  Verification from a physician must accompany cancellations.

$75.00 is considered an administrative fee and is not refundable under any circumstances.  Camp Hanes does not issue partial refunds for campers that go home mid-session due to homesickness or behavioral issues.

Changing Sessions

If you need to change the session you initially registered for, please call the camp office and we will be happy to help you.  Please note that once a program is full we are unable to add additional campers and space is available on a first come first serve basis.

Final Payment

Your camper’s session is to be paid in full no less than two weeks before the session begins.  Paying in advance also makes the check in process go much more smoothly!

Camper Forms

Please submit all forms 30 days prior to your child’s attendance at camp.  We encourage parents to talk with their doctor about camp prior to attending if they have concerns or their child has a known medical condition that typical camp activities may be an issue. Health forms, including immunization records, must be filled out completely before any child can begin their session. Returning these forms in advance also makes the check in process go much more smoothly!

Discounts/Financial Assistance

Our goal at YMCA Camp Hanes is make sure every child has the ability to experience our ABC’s of Accomplishment, Belonging and Character building.  To that end, we offer a variety of ways to make camp as affordable as possible for every family.

When you register early you receive an Early Bird discount.  The discount runs through December 31st and saves you $100 off the cost of camp.

Looking to save even more?  You can Bring a Friend to camp.  If you recruit a new camper to come for a week of camp you both can save $50 off your week.  If you need help recruiting friends host a Home Show.  A camp representative will come to your home. They will bring a video for folks to watch and answer any questions folks may have about a week of camp.  For hosting the show and inviting five or more families you will receive $200 off your child’s trip to camp. (Email Jen deRidder to schedule a home show.)

Concerned because you have a bigger family and siblings?  We offer a Second Child Discount of $50 off the cost of camp for siblings.  The more the merrier.

Are you a member at a branch in the YMCA of Northwest North Carolina?  Wonderful!  As a current member of our Association we are happy to offer you a Member Discount for your support and dedication.  You will receive a $50 discount.

If you still feel unsure about the cost of camp but believe in the experience it can offer to your camper you are welcome to apply for financial assistance.  Through our Open Doors Program we offer financial support to our families.

Check in begins at 2:00 on Sunday.

Check out is at 5:00 on Friday.

Phones

Campers are not permitted to bring cell phones or make calls during their time at camp.

Camper email

You may email your camper at camper@ymcanwnc.org and they will recieve a printout of the e-mail during meal times.  Please understand that they will not be able to respond.
